Pend Oreille County Auditor Recording Division

The Pend Oreille County Auditor is the custodian of all recorded documents, including real estate deeds, liens, military discharges, maps, and surveys. Recording a document in Pend Oreille County gives public notice of its subject matter. Once a document is recorded, it becomes a permanent part of the official county record and cannot be unrecorded. The Auditor's recording division maintains an accurate index so that anyone can find and retrieve specific documents. Staff also provide public access to view and copy document images.

The recording division's job is narrow but important. Staff verify that proper fees have been paid, that the document title is present, that indexing information is complete, the document is legible, and that it meets state format standards. They do not review the accuracy or legal content of documents. The responsibility for preparing a correct deed rests with the person who drafts and submits it. The Auditor and staff are not attorneys and cannot help with the legal side of a deed or property transaction.

Process server registrations are also recorded at the Pend Oreille County Auditor's office along with marriage licenses. The recording division serves as a general-purpose public records office for the county on top of its primary real estate recording function.

A deed of trust costs $304.50 for the first page. These fees are set by the Washington State Legislature under RCW Chapter 36.18 and apply uniformly across all 39 counties. The fee includes surcharges for state and local affordable housing programs.

The full fee breakdown includes components for state and local historical preservation, local recording functions, and state and local affordable housing. These fund programs that help with down-payment assistance and homeless prevention around the state.

Assignment of deed of trust documents cost $301.00 for the first page effective July 27, 2025. That is a significant change from the old $18 rate for those instruments. If you are a lender handling assignments of deeds of trust, budget for this new rate.

Exceptions with lower fees include employment security liens and releases ($15.00), federal liens and releases ($16.00), wage liens and releases, water-sewer district liens and releases, birth and death certificates, marriage dissolution decrees, and state, county, and city liens and releases (all $18.00). Military discharge documents (DD-214) are recorded at no charge. A nonstandard document fee of $50.00 applies if a cover sheet is needed because the document doesn't meet standard format requirements.

Property Documents Recorded in Pend Oreille County

Pend Oreille County deed records include all instruments that legally affect real property within the county. The most common are deeds transferring ownership between parties. Washington has three main deed types. A statutory warranty deed under RCW 64.04.030 is the strongest for buyers, as the grantor warrants clear title and will defend against claims from outside their ownership period as well. A bargain and sale deed under RCW 64.04.040 only covers the time the grantor owned the property. A quitclaim deed under RCW 64.04.050 carries no warranty whatsoever. Quitclaims are often used for gifts, clearing title clouds, or resolving family ownership disputes.

Deeds of trust secure mortgage loans on property. In Washington, lenders use deeds of trust rather than traditional mortgages. When the loan is paid off, a reconveyance is recorded to clear the lender's interest. Easements allowing access across a property or for utility lines must also be recorded to bind future owners. Liens for unpaid debts, including mechanic's liens and judgment liens, are recorded here as well. Any instrument affecting real property in Pend Oreille County needs to be on file in the Auditor's records to provide legal notice to the public.

Surveys, plat maps, short plats, and boundary line adjustments are also recorded. These establish the legal boundaries of parcels. Original plat maps are stored in the Auditor's vault. Digital copies go to the Washington Department of Natural Resources. These records are important for anyone doing a title search or trying to understand the legal description of a piece of land in Pend Oreille County.
